Improving Customer Service is Hard. Here’s How to Start

Customer service is important for every business. You cannot grow your business if you cannot keep your customers happy. But maintaining happy customers doesn’t just happen. It takes planning and continual work. Here are some ways to make sure you have happy customers.

1. Know your customers.

That means taking the time to understand what their needs are, so you can better satisfy them. You also want to make a strong effort to get feedback from your customers. Find out what they think about your service and how it could be made better. You and your team may think one tactic will work, but your customers’ behavior suggests another idea. Listen to your customers.

2. Set high standards.

All of your employees who deal with customers need to know exactly what is expected in such interactions. What are your goals and standards for customer service? Establish such goals and standards and make sure everyone understands them.

You should also set up a customer service training program for everyone who deals with customers to make sure they are acting in line with the company values. Establishing a program will also send a message to employees of how much the company values good customer service. Moreover, the company needs to reward people who provide exemplary customer service and share their work with everyone at the company to promote good service.

On the other side, you need to have a system in place for handling mistakes. When a mistake is made, do what needs to be done to correct the problem as soon as possible. Then, do an analysis of why the error occurred in the first place, figure out what needs to be done to fix it, and correct the problem to ensure the error does not happen again. If people need additional training, or a review of certain procedures, the company should provide it.

3. Service should be customer centered.

In other words, you need to put yourself in the customer’s place. How easy is it for them to deal with your company? Is the process smooth and straightforward? Can you make the process simpler and easier for the customer? That can take a change in mindset from management on down, but setting that standard will lead to increased success.

4. Work for continual improvement.

You should always be asking yourself, how can I improve customer service? Gather input from employees who deal with customers as well as customers on how you can improve the process. If you get stale with your attention to customer service, your company might find success for awhile but it will catch up to you in the long run.
