Bringing on new employees? Looking to update the information/paperwork packets you give during the onboarding process? Here are some items you should always include in your new-hire packets.

  1. Welcome your new employee with a letter from the head of your company. If a large company, include a letter from the new worker’s department head. Place the letter on company letterhead and be sure to address the employee by name. If possible, personalize the welcome letter a bit with information about how you feel the employee’s skills and experience will be of value to the company.
  2. Place your employee handbook in the packet. This should be a comprehensive guide that includes all of your policies and rules and will help a new employee succeed on the job. Ask new hires to sign a form that shows they’ve received the handbook and they have read (or will read) it.
  3. Naturally, you’ll want to include all the necessary employment forms such as the I-9, W-4, 1099, EEOC surveys, and more. You’ll definitely need to ascertain if a new hire is legally eligible for employment in the U.S.
  4. You’ll also want to include information and enrollment forms for your new employee to sign up for your benefits packages, such as health insurance and any retirement plans your company offers. (Be sure to include a comprehensive list of benefits, as well.) You’ll also want to include, as applicable, time and attendance forms, direct deposit forms, payroll dates, etc.
  5. Always include a form the employee may fill out that gives his or her emergency contact information. In fact, you should update this every year for all of your employees.
