What Is a Realistic Workplace Cell Phone Policy?

Most, if not all, employees bring cell phones to work these days. As a result, companies need to have policies in place for the use of cell phones. It is a balancing act – employees should be able to have access to their cell phones for personal use when necessary, because there are times when they need to be in touch with friends and family. Yet companies don’t want them spending too much time on the phone because this would obviously cut into their productivity.

It is also important that when companies do create a cell phone policy, all employees know exactly what is expected of them regarding cell phone use. Cell phone guidelines should be part of the employee handbook. These guidelines can also be sent to employees through email or written notices.

A realistic and effective cell phone policy should include guidelines similar to the following:

  1. If employees are going to make personal calls, they should try to make them during lunch or break times.
  2. Cell phones cannot be used too often or for long personal calls.
  3. Employees should use their good judgment when making personal calls, reserving these calls if possible for when they are not at work, and speaking quietly when on the phone.
  4. When using a cell phone at work, even for personal issues, employees should refrain from using obscenity or language that is discriminatory to anyone based on their gender, race, nationality, religion, or sexual orientation. They also need to avoid anything that is off-color or offensive.
  5. Employees should not use their personal cell phones for business purposes.
  6. Cell phone ring tones need to be turned off or silenced during meetings, training sessions, or similar situations.
  7. Because of privacy concerns, employees are not allowed to use cell phone cameras at work.

These are the fundamentals of an effective cell phone policy. They should be tweaked and adapted to your particular type of business. For example, if you are in an office that has regular face-to-face interaction with clients or customers, you probably would have more stringent requirements on personal cell phone use than in an office where there is little face-to-face interaction.
